Player & Team Registration

This page explains everything you need to take part, from signing up to checking in on the day.

How individual registration works

Choose your tournament from the schedule, complete the online registration form with your details, and pay any entry fee. Free events require only the form. You’ll receive a confirmation email with your check-in details.

How to register a team

Nominate a team captain, choose a team name, and add your players on the team registration form. The captain submits the entry and pays the fee for paid events. Confirmation is sent to the captain, who shares check-in details with the team.

Registration confirmation

Every registration receives an email confirmation. Keep it — it contains your event date, time, venue, and check-in reference.

Entry fee payments

Paid events are settled securely online at the time of registration. Your place is confirmed once payment is received. We accept major debit and credit cards.

Free tournament registration

Free events need only the completed form. No card details are taken. Places are limited, so register early to avoid the waiting list.

Player eligibility

Participants must be at least 16 years old. Players aged 16 or 17 need consent from a parent or guardian. There’s no upper age limit and no membership requirement to enter individual events.

Team size requirements

Team sizes vary by event and are listed on the schedule (for example, 2–3 or 3–4 players). Teams must meet the stated minimum to compete.

Tournament check-in

Please arrive at least 20 minutes before the start time. Give your name or team reference at the check-in desk to confirm your place.

Photo ID if you’re aged 16 or 17
A pen (handy but not essential)

All game materials are provided by the club.

Late arrivals

If you arrive after check-in closes, we’ll seat you if the format allows, but we can’t delay rounds. Late arrivals may forfeit early rounds. Entry fees aren’t refunded for lateness.

Registration deadlines

Each event has its own deadline, listed on the schedule. Registrations close once the deadline passes or the event fills.

Cancellations

You may cancel your registration by emailing info@kalteri.org. Refund eligibility for paid events depends on how much notice you give (see below).

Refund conditions

7 or more days before the event: full refund
3–6 days before: 50% refund
Fewer than 3 days before or no-show: no refund

If Kalteri cancels a paid event, you’ll receive a full refund regardless of notice.

Replacing a team member

Teams may substitute a player up to 24 hours before the event by emailing us the new player’s details. Substitutions on the day are allowed only at the referee’s discretion.

Waiting lists

When an event is full, you can join the waiting list. If a place opens, we’ll contact you in order and give you a short window to confirm.

Code of conduct

All participants agree to play honestly, treat others with respect, follow referee decisions, and avoid disruptive or offensive behaviour. Breaches may result in removal without refund.

Passes cover entry only and never affect results or standings. All competitors play on equal terms.
